This policy explains what personal data we collect when you enquire about or book a stay with us, why we collect it, and what rights you have over it. It applies to thevero.ie and to bookings made with us directly or through a third-party booking site.

1. Who we are

Hoztel Hospitality Limited, trading as The Véro, is the data controller for the personal data described in this policy. You can contact us at contact@thevero.ie, on +353 646 637 933, or by post at Muckross Road, Killarney, County Kerry, V93 V602, Ireland.

2. What personal data we collect

Depending on how you interact with us, we may collect: contact details (name, email address, phone number, postal address); booking details (arrival and departure dates, room type, number of guests, special requests such as dietary needs, accessibility needs, or travelling with a pet); payment details, which are collected and processed on our behalf by our booking platform, Cloudbeds, and, where you book through a third-party site such as Booking.com or Expedia, by that platform — we don’t store full card numbers ourselves; correspondence you send us by phone, email, or in person; and stay records such as check-in and check-out times and any incidents or damage relevant to your stay, kept for our legitimate business and insurance purposes.

3. How we use your personal data, and our legal basis

We use your personal data to take and manage your booking and provide the room, breakfast, and services you’ve booked (performance of a contract); to answer questions or requests you send us directly (performance of a contract, or our legitimate interest in responding to you); to take payment and meet our accounting and tax obligations (legal obligation, and performance of a contract); to keep our guests, staff, and property safe (legitimate interest); and to resolve complaints or disputes relating to a stay (legitimate interest, or legal obligation). We only use your data for direct marketing if you’ve separately given us your consent, and you can withdraw that consent at any time.

4. Who we share your data with

We share personal data with Cloudbeds, our booking and property management platform, which processes bookings and payments made directly with us; with Booking.com, Expedia, Tripadvisor, and other booking platforms where you’ve booked through them — they act as the data controller for that booking, and their own privacy policy applies alongside ours; with payment processors, to take and verify card payments; with our professional advisers, such as our accountant or solicitor, where necessary; and with An Garda Síochána, our insurer, or another authority, where we’re legally required to or where necessary to protect someone’s safety or our property. We don’t sell your personal data, and we don’t share it with anyone for their own marketing purposes.

5. Cookies and similar technologies

Our website uses a small number of cookies and similar technologies, mainly to make the site work properly. When you start a reservation, you’re taken to our booking platform, Cloudbeds, which sets its own cookies to manage your booking session. We display a live feed of our Google reviews using a third-party widget (Trustindex), which may set cookies to load that content. Our website also loads fonts from Google Fonts, which may process your IP address to serve those files. We don’t currently run advertising or analytics tracking on thevero.ie; if that changes, we’ll update this policy and ask for your consent where required.

6. How long we keep your data

We keep booking and stay records for as long as needed to fulfil the booking, deal with any dispute, and meet our accounting and tax obligations — generally seven years, in line with Irish Revenue requirements. We keep enquiries that don’t lead to a booking for a shorter period, typically up to 24 months, unless you ask us to delete them sooner.

7. Where your data is processed

Your personal data is mainly processed in Ireland and the European Economic Area. Where we use a supplier based outside the EEA — Cloudbeds is a US company — we make sure appropriate safeguards are in place, such as the European Commission’s Standard Contractual Clauses.

8. Your rights

Under GDPR and Irish data protection law, you have the right to ask us what personal data we hold about you and get a copy of it; to ask us to correct inaccurate or incomplete data; to ask us to delete your data where we don’t have a legal reason to keep it; to ask us to restrict or object to how we use your data; to ask for your data in a portable format, where relevant; and to withdraw consent at any time, where we’re relying on consent. To exercise any of these rights, contact us at contact@thevero.ie. We’ll respond within one month.

9. Complaints

If you’re unhappy with how we’ve handled your personal data, please contact us first at contact@thevero.ie so we can try to put it right. You also have the right to complain directly to the Data Protection Commission, Ireland’s supervisory authority, at www.dataprotection.ie.

10. Children

Our services are intended for adults booking accommodation. We don’t knowingly collect personal data directly from children.

11. Security

We take appropriate technical and organisational measures to protect your personal data against loss, misuse, and unauthorised access.

12. Changes to this policy

We may update this policy from time to time, for example to reflect a change in the law or in how we operate. The current version is always available at thevero.ie/privacy-policy.
